Products with highest deviation
To look for products with the highest deviation, do the following:
- Navigate to the relevant stock count and tap list of items.
- Select Product List.
- Tap List. The products with the highest deviation will be listed first.
- If you have forgotten to count these items, count them. If this is a real deviation, leave it as is.
Possible causes of discrepancies
Discrepancies can occur due to various factors. It is recommended that the auditors are notified about these types of deviations.
Positive deviations
A positive deviation occurs when you count more items than what has been registered in your stock.
Possible reasons:
- You have perhaps received returns (regular returns, supplier returns, warranty, etc.) without having registered them in the POS, or counted returns that came in after the stock count was created.
- You might have accidentally registered an incorrect stock quantity in the system during goods receipt or might have received goods during a count and counted that.
Negative deviations
A negative deviation occurs when you count fewer items than what has been registered in your stock.
Possible reasons:
- You might have sent goods back to the supplier or transferred goods, e.g. to another store in the same chain, without registering this in the system.
- You might have sold an item during stock count without it having been counted in FrontZapp.
Correction of stock count errors
I forgot to count an item before I sold it
Solution:
- Print out a new label for the sold item in the same size and count/scan the label. If you are unable to do this, then do a manual correction in the catalog after you have reconciled the stock count.
I accidentally counted/scanned items that were delivered after I started a count
Solution:
- This has to be corrected on the device that mistakenly scanned the items.
- Open FrontZapp and navigate to list of items and Your List.
- Find the item and adjust the quantity or delete the item.
I have counted items that don't appear in the stock count list
Solution:
- Open the stock count in FrontZapp on all the iPhones that joined the stock count, and leave it open for 5 minutes to make sure everything has been uploaded before the app is closed. Check that the iPhone(s) has stable WiFi/4G connection.
- Tap the cogwheel icon in the main menu and update the warehouse by tapping Product data updated, so we are certain that everything you have counted has been loaded.
N.B.
- Avoid manipulating the stock count for the mere purpose of making the deviation list look better. This will only lead to more errors over time.
In our experience, a deviation rate of minus 2-3% is normal over the course of a year. - Having minimum deviations as possible is not the goal of a stock count. The objective is to give an actual picture of the stock in your store.
So, if you have a high discrepancy, have counted the non-conforming items and confirmed that the counted number (unfortunately) coincides with what you actually have in stock, then the count is a success. - We recommend adding comments to the stock count explaining the discrepancy to the accountant and auditor.
